Payroll ~ Our books & Your books

Payroll Through Us For New Employees

Many companies choose to take on temporary/casual labour for peak periods or trial periods. Because of the nature of this type of arrangement it means that – from both parties perspective – their can be a great deal of paperwork and turnover.

For an employer collating and paying 5 new starters + meeting all of their legal and reporting obligations means that any short term engagement costs are excessive in comparison to using our payroll services.

With this arrangement we undertake all of the pre-employment leg work, they work as our employee and weekly we provide one invoice to reimburse us the costs of the service.

Payroll Through Us For Probationary Period

Many employment contracts and Awards have probation periods which typically last 3 months. During that period employers will have their highest turnover as employees might choose other opportunities, not meet the expectations of the role or any other of countless reasons to part company.

Using our payroll service means that as staff come and go the only administrative overhead is one invoice paid each week.

Payroll Through Us – Important Notes

  • These are legally our employees and we have a duty of care to them
  • We are required by law to make sure that they are paid appropriately, the work is safe and they pass our screening processes (eg: Rights to work in Australia)
  • Our pay week goes from Monday to a Sunday and invoices are due upon receipt

Payroll ~ Your Books / Your Employees

Our payroll service involves all aspects of collating hours worked, chasing documentation and providing reports. The process is:

  • We undertake the payroll collation in our systems
  • We provide you with a file for your bank to transfer the money into your employee’s accounts
  • We provide you with payroll journals and reports so that you can effectively account for the transactions and pay out employee entitlements such as superannuation.

For this service an invoice is generated each pay cycle for the services performed. These include:

  • Undertaking the payroll process
  • Collating and authorising hours worked
  • Chasing employee details such as taxation and superannuation details
  • Dealing with pay enquiries and back pays
  • Providing supporting functions and reports as needed

We are familiar with many Awards and agreements. Whilst typically our clients provide hours broken down into Normal Hours, Time & 1/2, Double Time, etc we can provide a service to interpret raw hours if needed.


Temporary Staffing

Using Temporary (casual) team members through us can be an ideal way for clients to outsource staffing needs at busy times. This involves us recruiting, screening, hiring and employing staff on our books to work in your business.

The entire process is dependant on understanding the roles you need to fill, your culture and business. This also involves a Job Safety Analysis (JSA) and a Site Hazard Assessment (SHA). (An SHA can reference your SWMS as a starting point).

From a candidate point of view their well being is of paramount importance to us. This disposition helps us retain the best staff in your roles and enables them to work across multiple of our client’s sites to maximise their income opportunities.

As a rule of thumb the costs are based on the following formula:

$pay rate + Super% + WorkCover% + Payroll Tax% + Admin = $hourly rate

About Charge Rate Calculation

  • The pay rate is based on the relevant Award or Agreement. We pay parity with your current staff for the same job as a casual
  • Superannuation will be 12% from July 1st 2025

This arrangement benefits your business by ensuring staff are available when you need them and benefit the worker by offering work around their other commitments.


Permanent Placement

Our Permanent Placement service is an outsourcing of the entire responsibilities of the recruitment process to us except the final decision and the offer to the candidate. This allows you and your management/hiring team to stick to your duties and leave talent delivery to us.

Most Management job descriptions refer to some recruitment activity as part of their role. In reality different Managers will have different levels of competency in recruitment and by aligning with us we can achieve a consistent recruitment process in line with your corporate ethos and best practices.

Among others; a typical recruitment process involves the following steps:

  • Discuss the role with the reporting managers and team members as required
  • Review (or create) a Job Description and distil the key hiring criteria
  • Design a marketing campaign for the role relevant to the candidate market and trends
  • Undertake a database search and mail out to suitable networks (individuals, industry experienced candidates, etc)
  • Telephone screen the candidates
  • Interview a “short list” of candidates focussing on the key hiring criteria
    • Our short list is normally twice the number of candidates we present to you
  • Reference check those that are selected for the next stage in the process
  • Prepare summaries of the selected candidates and their personal details to forward to you
  • Arrange interviews including prepping the hiring team/manager and the candidate
  • Post interview debrief with the candidate and the client
  • Present the offer to the preferred candidate and upon acceptance collate the appropriate paperwork for you.
  • Post commencement follow-up calls or meetings

Placement fees are charged for the extensive work undertaken to deliver the best candidate to you. Their calculation is based on the salary package for the role as a percentage. This is used because typically more senior positions pay better but take more effort to fill. Also these formulas are used so that there is a clear way for clients to estimate their investment process prior to commiting.

FAQ ~ Is it worth it?

Throughout our extensive experience in providing these services there is often the question raised about price. We understand that when a business deals in raw materials when products can be bought cheaper in bulk. For getting the right people the same does not apply.

Reading further below we list some of the services we undertake on a case-by-case component service. Trust me – if you want us to do all of the steps involved in recruitment as an individual service then you will be paying more.

Like any business rates, fees and charges can be negotiated on the basis that their is value for both parties. If we choose to enter a preferred supplier agreement or undertake bulk recruitment then we achieve economies of scale and can price accordingly.

Advertising

We have a significant amount of experience in recruitment advertising. This includes our sites, job board, social & print media. Writing successful adverts is a technique not a formula. We use an advert building framework that is specific to the person would would desire the role.

In any sized organisation there will be different personalities. To paraphrase, your sales staff are going to appear outgoing & results driven whereas data workers may be more reserved & focussed on accuracy and specifics. You do not write the same style adverts for these differing personality types. And you definitely do not write an advert for yourself!

If your adverts are not getting the traction that you expect we can review and rewrite them for you. Further we can provide training to improve your approach to advertising.

Pre-Recruitment

Many failed hires come from a lack of preparedness. Simply put the candidate experience post advert gets poorer and poorer as the process gets more and more clumsy. These are questions that need to be in the position hiring brief:

  • What is the job description?
  • What is the key hiring criteria?
  • How is safety & risk treated by the organisatin?
  • What is the reason for the role?
  • What is in the employment agreement / letter of offer?
  • What PPE / uniform / etc does the candidate need?
  • Who does the role report to? Do you have an organisational chart?
  • What is the career progression for someone starting in this role with the firm?
  • What testing/screening happens next? (right to work, security, drug & alcohol, fitness/medical?)

We can ensure that your team is prepared for the interview and all the information is available for dissemination or discussion throughout the process. We can draft job descriptions, charts, briefs, letter of offers and contracts for you.

Screening

Screening is initially done by reviewing the resume/CV, then over the phone and subsequently done in an interview setting. The overall partitioning of responses is to ascertain if they are suitable, possibly suitable or unsuitable for the role being recruited for.

It should be noted by clients and candidates alike that not being suitable for a specific role does not preclude a candidate from being ideal for another role with the client or another firm altogether.

Our screening process is built on the established hiring criteria and can be customised to the needs of each recruitment exercise with each client. [The process of having developed the key hiring criteria is mandatory for the delivery of this service].

Formal / Panel Interviewing

A formal and or panel interview is undertaken with candidates that have been selected from the pre-screening activities. Depending on the role this would involve a deeper understanding of the suitability of the candidate with respect to competencies & experience, in-depth career analysis and follow up assessment.

Whilst the ultimate decision rests with the hiring manager we would provide objective 3rd party reports about the candidates in terms of skills, experience, future suitability and cultural fit.

Onboarding

We can chase paperwork and collate the essential information you need such as executed documents, payroll information and external testing results (right to work, security, drug & alcohol, fitness/medical?). This leaves you to focus on the relationship with your new hire and prepare for a successful starting day.
